If you have paid an invoice using bank transfer and your invoice still appears as pending, or your services have not yet renewed automatically, this is normally due to payment clearing and reconciliation timeframes.
Unlike credit card or PayPal payments, bank transfers are not instant automated payment mechanisms from an accounting perspective.
Even after funds are sent, payments must still clear through the banking system and then be manually reconciled by our accounts department before invoices are marked as paid.

1. How Bank Transfers Work
Bank transfers operate differently from automated online payment gateways such as PayPal or card processors.
While European SEPA systems have improved transfer speeds significantly, bank transfers still involve:
- Bank-side processing delays
- Clearing procedures
- Inter-bank settlement
- Manual reconciliation processes
As a result, payment confirmation is not always immediate.
2. Processing & Settlement Times
Under normal circumstances, bank transfers may take between 0 to 48 hours to fully arrive and settle within our business bank account.
Actual settlement times may vary depending on:
- The sending bank
- The country of origin
- Bank processing schedules
- Anti-fraud checks
- SEPA processing cycles
- Weekends or holidays
Important: Sending a bank transfer does not automatically mean the payment has already cleared or been reconciled within our systems.
3. Manual Reconciliation Process
Once funds arrive in our bank account, additional internal accounting actions are still required before invoices are marked as paid.
This process may involve:
- Matching payments against invoices
- Reviewing payment references
- Confirming sender details
- Accounting reconciliation procedures
- Internal payment verification
Services are normally renewed only after the reconciliation process has been completed successfully.
4. Weekends & Bank Holidays
Bank processing delays are especially common during:
- Friday evenings
- Weekends
- Spanish bank holidays
- European banking holidays
Example Scenario
If a bank transfer is sent on a Friday evening:
- The bank may not begin processing until Monday
- The transfer may take additional time to clear
- The payment may not appear until Tuesday or Wednesday
- Manual reconciliation may then still be required
As a result, invoice settlement and service renewal may not occur immediately.
5. Service Renewals & Pending Invoices
If a payment has not yet been reconciled:
- Invoices may still appear as unpaid
- Services may remain suspended or expired temporarily
- Automated renewals may not yet trigger
Please do not assume services will renew instantly simply because a bank transfer has been initiated.
We endeavour to reconcile payments as quickly as reasonably possible during normal business operations.
6. Faster Payment Options
The fastest and most reliable payment methods for immediate service renewal are credit card payments and PayPal.
These payment methods normally:
- Confirm payment instantly
- Automatically mark invoices as paid
- Automatically trigger service renewals
- Reduce reconciliation delays
7. Important Notes
- Bank transfers are not instant payment mechanisms.
- Manual reconciliation may still be required after payment arrival.
- Weekends and holidays can delay payment settlement significantly.
- Services may remain pending until reconciliation is completed.
- Card payments and PayPal generally provide the fastest renewal experience.
